You press F5 and the wrong thing happens. The sermon slides appear on the operator's laptop, while the congregation looks at a screen showing notes, a timer and the next slide. Or the projector is blank while the laptop shows everything.
This is PowerPoint's Presenter View showing up on the wrong display. It looks like a disaster, but Microsoft documents the fix, and it takes under a minute once you know where the setting is. This guide follows Microsoft Support's instructions for Windows and Mac.

What Presenter View does
Presenter View is a mode for two screens. The audience sees the slide show on the projector or TV, while the presenter sees a private screen with the current slide, the next slide, notes and a timer.
For that to work, the computer must treat the projector as a second screen that extends the desktop. If it only mirrors the laptop, there is no separate screen for the presenter. If it extends the desktop but PowerPoint puts the slides on the wrong one, you get the swap problem.
Fix 1: swap the screens
Microsoft's instructions say that if the slide show and Presenter View appear on the wrong screens, you can swap them. On Windows, open Display Settings in Presenter View and choose Swap Presenter View and Slide Show. On a Mac the matching button is called Swap Displays.
If you are in the show, this is the quickest solution.
Fix 2: set the monitor yourself
On the Slide Show tab, Set Up Slide Show has a Monitor list. Microsoft explains that Automatic shows speaker notes on the laptop when a second screen is available, and otherwise uses the main display. If automatic picks the wrong display, choose the monitor yourself.
Fix 3: check the Windows display settings
Microsoft's guide for Windows says to open the display settings and check two things:
- Under multiple displays, choose Extend these displays.
- Select the screen you want to be the laptop and tick Make this my main display.
If the projector is not detected at all, use the Windows key and P to choose Extend, and the Detect and Identify buttons in the display settings. Our guide to laptop to projector problems covers the signal side.
PowerPoint also changes the setting by itself. Microsoft notes that PowerPoint switches the computer to extended display mode when the slide show starts, and returns to the previous setting afterwards.
Fix 4: on a Mac, clear Mirror Displays
For Mac, Microsoft says to open the Displays settings, go to Arrangement, and make sure Mirror Displays is not ticked. With mirroring on, there is no second screen for Presenter View.
Turning Presenter View on or off
If you do not want Presenter View at all, for example because the operator only needs slides, the Slide Show tab has a Use Presenter View tick box. Clear it, and PowerPoint will show only the slide show. If Presenter View does not show up, make sure it is ticked.
Useful controls for the operator
Microsoft's documentation mentions a few things worth knowing for a live service:
- You can make the screen black, and bring it back, from the presenter controls. In Microsoft's instructions the key for this is B.
- You can use a phone as a remote, instead of standing at the laptop.
- Notes appear only on the presenter's screen, so the operator can read cues without the audience seeing them.
Why the screens swap in the first place
The swap is not random. PowerPoint decides where to put Presenter View based on the displays it sees when the show starts. Microsoft's description of the Automatic setting says that, when a second display is available, PowerPoint puts the notes on the laptop, and otherwise on the main display. So the outcome depends on which screen Windows has marked as the main display.
That explains the usual causes:
- The projector was connected as the main display. Someone made the projector the main screen, perhaps while testing. Select the laptop screen and tick Make this my main display.
- The displays changed after the check. Unplugging and reconnecting a cable can change which display is which. Check again after any change, not just at the first setup.
- The computer is mirroring. If the screens show the same picture, there is no separate display for Presenter View, so the presenter's screen cannot appear.
One more reason to extend
Extending the desktop gives you two independent screens, one for the audience and one for the operator. Mirroring gives you one picture shown twice. For a sermon with notes, only extending lets the operator read cues the congregation cannot see.
A short troubleshooting table
| What you see | Likely cause | First action |
|---|---|---|
| Notes and timer on the projector | Screens swapped | Swap Presenter View and Slide Show (Mac: Swap Displays) |
| Same picture on both screens | Mirroring | Extend the displays (Mac: clear Mirror Displays) |
| No Presenter View at all | Option turned off | Tick Use Presenter View on the Slide Show tab |
| Slides on the laptop, projector blank | Wrong monitor chosen | Choose the projector in Set Up Slide Show, then check the cable |
| Wrong screen keeps coming back | The projector is the main display | Make the laptop the main display |
If none of these helps, check the signal itself, as described in our guide to laptop to projector problems.
A pre-service routine
- Connect the projector cable and wait for the screen to appear.
- Confirm Extend, not duplicate.
- Start the slide show from the first slide.
- If the screens are swapped, swap them now, not in the middle of the service.
- Leave the computer set the same way, and do not unplug the display after the check.
Many wrong-screen problems come from a change the day before. Another volunteer used the laptop, a cable was moved, or the projector was on a different input. A short check before the service finds these. Our Sunday tech preflight checklist puts this into a full routine, and our comparison of PowerPoint and worship presentation software explains when PowerPoint is the right tool.
How Planify can help
A swapped screen is a ten-second problem if the operator knows what to do, and a long one if they do not.
- A position for the presentation operator. Give it a coordinator and a minimum and maximum number of people.
- Confirmation by tap. Volunteers confirm or decline on WhatsApp.
- Cover from the same position. If someone declines, Planify can ask colleagues who cover that position.
- Announcements to a position. Send the operators a short note when the routine changes, for example a new projector input.
Which features you get depends on your plan.

FAQ
Why is Presenter View on the projector?
PowerPoint put the slide show on the wrong display. Use the swap option in Presenter View's display settings, or choose the monitor in Set Up Slide Show.
What does Swap Displays do on a Mac?
It switches which screen shows Presenter View and which shows the slide show.
Why is there no Presenter View at all?
On Windows, the computer may be mirroring instead of extending. On a Mac, check that Mirror Displays is off in the Displays arrangement.
How do I make the screen black during a slide show?
Microsoft's instructions say to press B, and press it again to bring the slides back.
Can I control the slides from a phone?
Yes. Microsoft documents using a phone as a remote for the slide show.
